The operating system for service businesses

Your whole business,on one desk.

Requests, quotes, scheduling, invoices, and payments in one system. Stop juggling apps and typing the same job three times: the quote becomes the work, the work becomes the invoice, and Stacwork drafts the follow-ups, so fewer jobs slip and fewer invoices go unpaid.

Who it is for

However you work, it fits.

Pick how you work and see what Stacwork runs for you. Turn on more than one: a plumber with a rental unit or a salon that sells product still has one system.

How do you work?

A plumber fixing the pipes under a sink
Sample jobs: a water heater swap for Chen on Tuesday at 10:30, assigned to Dana and in progress with its checklist 4 of 5 done, and a gutter repair for Delgado not yet scheduled.

Jobs on site

Quote it, assign the crew, track time and materials, then invoice from the finished work.

PlumbingHVACCleaningLawn care

What it runs

  • Assign one person or a crew, and drag work onto the calendar.
  • Checklists, photos, notes, and the client's signature, captured on site.
  • Check out on site: billable time and materials carry onto the bill, and the client can add a tip.
  • Put a client on a recurring plan and it makes their visits ahead on the calendar, billed by the plan at its price.
  • Switch on a confirmation when a job is scheduled and a reminder the day before. Team and up

On every plan, Free included. Tagged items need Team or Unlimited.

A hairstylist blow-drying a client's hair in a salon
Sample Tuesday with 3 bookings: a balayage at 9:00 with its deposit paid, an open time at 10:30, a cut and color at 13:00 in Room 2, and a facial at 15:30.

Bookings

Let clients choose an open time, collect a deposit, and keep every provider in sync.

SalonsClinicsStudiosDetailing

What it runs

  • Clients book open times online and pick a provider who does the service, or anyone available.
  • Take a deposit when they book, and it comes off their invoice.
  • Clients cancel or move their own booking from the link in their email, if you allow it.
  • Attach a room or a piece of equipment when you schedule, and it cannot be double booked.
  • Reminders the day before and an hour before. Team and up

On every plan, Free included. Tagged items need Team or Unlimited.

Two people talking through a project at a laptop
Sample website redesign for Fields Agency: Discovery for $2,000 done and billed, Design for $4,500 in progress, Launch for $3,000 pending, and a homepage design deliverable the client approved.

Client projects

Send the proposal, track milestones and deliverables, and bill at each checkpoint.

AgenciesConsultantsDesigners

What it runs

  • Win the work with a proposal, pricing tiers, and a payment schedule the client signs.
  • Track milestones and deliverables, each with an owner and a due date, on the calendar and the owner's phone.
  • Invoice each milestone when it is done. The final invoice bills whatever is left.
  • Clients follow the project in the portal, open shared files, and approve deliverables. Team and up

On every plan, Free included. Tagged items need Team or Unlimited.

A hallway of green storage unit doors with padlocks
Sample Units board: 18 of 24 occupied, Unit 9 reserved from Oct 15, Unit 21 moving out, and Unit 8 owes $190 in rent.

Unit rentals

Rent out a unit and its rent invoices go out on schedule. See who is moving in, moving out, or behind on rent.

Self storageParkingLockersRV and boat

What it runs

  • Every unit, its tenant, and who is behind on rent, on one board.
  • Rent a unit in one step. Rent invoices follow from the move-in date, weekly to yearly, and wait for your review unless you set them to send.
  • Take a deposit with the rent: prepaid rent off the next invoice, or a refundable security deposit you settle at move-out.
  • Move-ins and move-outs happen on their dates.
  • Tenants give notice from the portal. Team and up

On every plan, Free included. Tagged items need Team or Unlimited.

A customer paying by card at a cafe counter
Sample Register sale S-1042: two lavender soaps and a jar of honey, paid by card, and an online order S-1043 for Rivera ready for pickup.

Selling products

Ring up items at a counter or a market stall, take a card on the reader or the customer's phone, and watch stock come off as you sell.

Salon retailFarmers marketsPop-up shopsAdd-on products

What it runs

  • Tap items from your catalog, scan a barcode, or key in a custom amount, with discounts and the customer on the sale.
  • Check out with cash and change due, a card on the reader, or the customer's own phone by QR code. Split a payment between cash and card, and add a tip at check out.
  • Put a menu online for pickup. Orders are paid when placed and land on the Register for you to mark ready.
  • A Cashier role that sees only the Register and their own sales, with a cash drawer counted at close.
  • Run a points or punch card program, and refund all or part of a sale, items back in stock.

On every plan, Free included.

What it fixes

Less chasing. Less typing. Fewer surprises.

Chasing payments

Get paid without the chase.

Every invoice carries a link to pay by card or bank. Reminders for late ones are drafted for you, and a payment marks the invoice paid on its own.

Typing the same job three times

Type it once.

The quote your client signs becomes the work. When the work is done, one click builds the invoice from it, with any deposit taken off.

Office and crew out of sync

Everyone on the same day.

The crew sees their day on their phone. When they tap On my way or finish a job, the office sees it on the desk, without a single group text.

Why Stacwork

Built different, on purpose.

One system, every way you work

Jobs, bookings, projects, rentals, and counter sales share the same clients, calendar, and money, so a second kind of work never means a second app.

A desk, not ten tabs

Open anything as a window and keep a client's whole story side by side. Prefer one page at a time? Classic view is one click away.

Co-work

Co-work does the setup

Say what you are working on and it opens the windows for it. It drafts and suggests, and you decide what goes out. Co-work comes with Team and up.

Start free. Payments are built in, and Team lowers your fee on every payment.

The Desk

See the whole job at once.

Open the client, the quote, and the inbox side by side, and they stay on the same client. No more hunting through tabs.

Linked windows

Pick a client and every window follows: their quotes, open invoices, and messages.

Drag between windows

Drop a quote into a reply to send it, or a client onto a list to start a draft.

Co-work sets it up Co-work

Say "get me ready for month-end" and the windows for it open, tiled, for you to keep or undo.

Questions, answered

Straight answers about plans, payments, and getting set up.

Who is Stacwork for?

Service businesses with 1 to 50 people. That includes field crews like plumbing, HVAC, cleaning, and landscaping, appointment businesses like salons, clinics, and studios, project work like agencies, consultants, and designers, and rentals like self storage, parking, and lockers.

How long does setup take?

Tell Stacwork what your business does and it suggests a starter price list, payment terms, and the tools you are likely to use. Review it, connect Stripe to take payments, and you are ready to send your first quote.

Is Stacwork really free?

Yes. The Free plan is $0 a month for up to 2 team members, with clients, quotes, scheduling, invoicing, payments, and online booking included, across jobs, appointments, projects, rentals, and counter sales. On Free, Stacwork takes 2.5% of card payments and 1% of bank payments (capped) that you collect, plus standard Stripe processing.

What does Free leave out?

The customer portal and messaging, automations, inventory, Co-work, client health, and custom roles come with Team and up. Free keeps the five default roles, stops at 2 team members and 25 automated drafts a month, and its payment fee is higher: 2.5% of card payments and 1% of bank payments (capped), against 1% and 0.5% on Team.

What happens after the 7 day Team trial?

Every new account gets Team free for 7 days, no credit card required. If you do not subscribe, the account moves to the Free plan with 2 seats and Free limits. Your clients, quotes, jobs, invoices, existing members, and any custom roles stay in place. After a 72-hour grace period, everyone except owners is locked out while you are over the Free seat limit. Owners can still sign in to subscribe, remove members, or revoke invitations.

How do my customers pay?

Your customer gets a link to the quote or invoice and pays online by card, bank transfer or in person (card reader required). Payments run through Stripe and go straight to your own Stripe account.

Can I control what each person sees?

Yes. Every account starts with five roles: Owner, Admin, Manager, Team member, and Viewer. By default, a Team member sees only the work assigned to them, and a Viewer can look but not change anything. On Team and up, you can make your own roles and choose what each one can see and change, area by area or permission by permission. Owners can add and remove other owners; everyone else manages only people whose role ranks below their own. Stacwork checks permissions on the server, not just on screen, and the database checks access to your records again.

Can my team use it on their phones?

Yes. Your team sees their day on their phone: the schedule, the job details, and what is next, and they can check out and take payment on site. Stacwork runs in any modern browser, and you can add it to your home screen like an app.

What is Co-work?

Co-work is the assistant built into Stacwork, on Team and up. Ask it about your business in plain English, or tell it what you are working on and it opens the windows you need as a proposal to keep or undo. It drafts and suggests, and you decide what happens.

Does Stacwork send anything without asking me?

Notices about something that just happened go out on their own, like a payment receipt, a booking confirmation, or the new time when you reschedule an appointment. Quotes, follow-ups, invoice reminders, rent invoices, and recurring invoices wait as drafts for you to review. You can switch rent or recurring invoices to send automatically in Settings under Automatic sending, or, on Team and up, put a routine automation, like an overdue invoice reminder, on autopilot. Appointment reminders are the one automation Stacwork offers to start on autopilot: on Team and up, when you turn on Appointments, you choose whether they send on their own or wait for your approval.

Do I have to use the Desk?

No. Classic view shows one page at a time with the menu on the left. Switch between the two whenever you like, and Stacwork remembers your choice.

Can I set up the desk for my whole team?

Yes. Build a workspace once, like Front desk, and share it with your team. Everyone starts the day with the same windows, and a new hire's desk is ready the first time they sign in.

Does the Desk work on a phone?

The Desk is made for a computer. On a phone, Stacwork opens the classic view, and your crew works from My Day.
